Eventzam Privacy Policy

Eventzam provides event discovery, organiser pages, campaign landing pages, registrations, promotional claim facilities and related analytics. This policy explains how Eventzam handles personal information. Where an organiser uses Eventzam to collect registrations, claims or enquiries, that organiser also handles the information it receives and may have its own privacy practices.

Information we may collect

Depending on how you use Eventzam, we may collect:

  • contact details such as your name, email address and phone number;
  • information you choose to provide in an organiser enquiry or registration form, such as event preferences, visa status, qualifications or experience;
  • voucher or promotional claim information, such as a ticket number where it is required to administer an offer;
  • consent choices, including acceptance of offer terms and whether you want optional marketing updates;
  • landing-page, referral and campaign attribution information such as UTM parameters;
  • first-party session and usage information used to understand page views, calls to action and registration funnels;
  • Google Analytics information from ordinary public pages, such as page visits, event interactions, general acquisition source, device type, approximate location and a pseudonymous browser identifier; and
  • technical and security information that may be processed temporarily to prevent spam, fraud or abusive submissions.

Why we collect and use information

We use personal information to operate Eventzam, process registrations, promotional claims and enquiries, provide information to the organiser you are contacting, administer offers, measure campaign performance, improve the service, maintain security and respond to privacy requests. Marketing messages are only sent where the relevant organiser or Eventzam has an appropriate basis to do so.

Who receives your information

When you submit an organiser event registration, promotional claim or campaign enquiry, Eventzam makes the submitted information available to the organiser identified on that page so the organiser can handle that registration, claim or enquiry. We may also use service providers that support hosting, database, security, analytics and application operations, including Google Analytics 4, which is provided by Google. We may disclose information where required by law or to protect the security and integrity of Eventzam.

Storage and overseas processing

Eventzam uses cloud infrastructure to operate the platform. Production database services are currently hosted in Australia. Some technology providers may process information outside Australia, including in the United States, depending on the infrastructure used to deliver the service. We take reasonable steps to use reputable providers and limit access to what is necessary for the service.

Analytics and session information

Eventzam uses first-party analytics and Google Analytics 4 on ordinary public pages to understand visits, traffic sources, calls to action, event interest and registration activity. Analytics starts by default and Google Analytics may use first-party cookies to recognise visits across Eventzam and organiser subdomains. Reports may include acquisition channel, engagement, device category and approximate region. Eventzam provides organisers with aggregated performance reporting for their pages and events.

Advertising storage, Google Signals, user-provided data features and ad personalisation are disabled. Analytics is kept separate from the personal details submitted in forms. Eventzam does not send names, email addresses, phone numbers, dietary information, visa information, registration codes or other form responses to Google Analytics. Page URLs sent to Google Analytics are filtered to remove unapproved query parameters, and admin, staff, scanner and private pass pages are excluded.

You can opt out of Google Analytics at any time. Your preference is stored in a first-party cookie so it can apply across Eventzam organiser subdomains. Opting out stops future Eventzam Google Analytics collection on that browser and removes Eventzam Google Analytics cookies that are accessible to the site.

Retention and security

We retain personal information only for as long as reasonably necessary for the purpose it was collected, operational requirements, dispute handling or legal obligations. Organisers may have their own retention requirements for records they receive. We use access controls and other technical and organisational safeguards appropriate to the nature of the information we handle.

Access, correction and complaints

You can ask Eventzam to access or correct personal information we hold about you, or raise a privacy concern, by emailing hello@eventzam.com. If your request relates to information already provided to an organiser, you may also need to contact that organiser directly. We will respond to privacy enquiries within a reasonable period.

Changes to this policy

We may update this policy when Eventzam’s services or information-handling practices change. The current version will remain available on this page with the date it was last updated.
